Payment Policy

1. Introduction and Purpose

This Payment Policy explains how to pay AweSTEM Limited for holiday camps, term-time courses and school clubs, the payment methods we accept, and when payment is due. It also explains what to do if you are ever unsure whether a payment request claiming to be from AweSTEM is genuine.

This policy should be read alongside our Privacy Policy and Safeguarding Policy, each available on our website.

2. Who You Should Pay

Payment for any AweSTEM camp, course or club must only ever be made to AweSTEM Limited, using one of the official payment methods set out in Section 3. We do not authorise any third party — individual, agency or other organisation — to collect payment on our behalf.

If you receive a flyer, email, letter, text message or payment link that appears to be from AweSTEM but directs you to pay a different company, individual or account, do not make the payment. Contact us immediately on the details in Section 8 to verify it before sending any funds.

We are not able to refund or trace payments sent to accounts that we do not control.

3. How We Accept Payment

We accept payment by:

  • Card, paid securely online at the payment step of our booking wizard
  • Bank transfer, following an official invoice we send you directly
  • Childcare vouchers — see Section 6

Every payment request comes from an official AweSTEM communication — either the secure payment step in our online booking wizard, or an invoice issued directly by us. Any payment must be made payable, or paid, directly to AweSTEM Limited. We do not publish our bank account details on this page; they are provided only on the invoice we issue to you, to reduce the risk of a fraudulent account being copied from our website.

4. When Payment Is Due

We only ask for payment once your booking has been confirmed. You will never be asked to pay before your place has been confirmed to you, either through our booking system or an official AweSTEM invoice.

We do not accept payment in instalments — the full fee for a camp, course or club must be paid in a single payment, and at least 3 days before its first session. If payment has not been received within this window, we may release the place to another family.

5. Cancellations and Refunds

We do not accept cancellations online. If you need to cancel a booking, please contact us directly by phone or email — we will discuss your situation with you and help you choose an alternate camp, course or club, or guide you through the refund process where a refund applies.

6. Childcare Vouchers

AweSTEM is OFSTED registered and able to accept childcare vouchers from several popular providers, including Sodexho, Computershare, Care4, Edenred and HMRC. Selecting the childcare voucher option at the payment step of your booking will show our current registration details for each provider we work with. If your provider isn't listed, contact us and we will let you know if we can accept it.

7. Disputed or Suspicious Payments

If you believe you have been asked to pay, or have paid, an account that is not AweSTEM Limited's, contact us immediately using the details in Section 8 so we can investigate and, where appropriate, report it.

If you dispute a genuine AweSTEM charge — for example, a card payment you don't recognise or a duplicate charge — please contact us directly first so we can look into it, before raising a chargeback with your bank or card provider. This lets us resolve it faster for you.

We reserve the right to decline future bookings from anyone who submits fraudulent or repeatedly disputed payments.
